This Privacy Policy explains how Cotech Innovations ("we", "us", "our") collects, uses and protects personal data when you visit buildertrackpro.com (the "Website") or use BuildTrack Pro, our construction management and real estate CRM platform (the "Service"). We are based in Bangalore, Karnataka, India, and we handle personal data in line with the Digital Personal Data Protection Act, 2023 and other applicable Indian law.

2. Information we collect
When you contact us or book a demo
If you use the enquiry popup, the contact form, the demo form or the chat assistant, we collect what you choose to give us:
- Name, phone or WhatsApp number and email address
- Company name, city, team size and the product areas you are interested in
- Your message, and your preferred demo time slot where applicable
- The page you submitted the form from, and the date and time of submission
When you use the Service as a customer
Our customers load their own business data into BuildTrack Pro, such as leads, quotations, projects, payment schedules, documents and team member details. For that data, our customer decides what is collected and why, and we process it on the customer's behalf to provide the Service (see section 6).
Automatically
Like most websites, our hosting servers may log technical data such as IP address, browser type and pages requested, for security and to keep the Website running. We use Google Analytics to understand how visitors use the Website, such as which pages are viewed, how long visitors stay, the approximate location and the type of device. Google Analytics uses cookies or similar technologies and receives your IP address and browser details. We use this information only in aggregate to improve the Website. You can block or delete cookies in your browser settings, or install Google's browser add-on to opt out of Google Analytics. We do not use the Website for advertising cookies.
3. How we use personal data

- To send an automatic confirmation email when you give us your email address
- To provide, secure, support and improve the Service
- To send invoices and handle billing and tax records
- To meet legal obligations and to protect our rights
We contact you only about your enquiry or your use of the Service. We do not send marketing to your phone or email unless you have asked us to or agreed to it, and you can ask us to stop at any time.
4. Why we may process your data
We process personal data on the basis of your consent (for example, when you submit a form), to carry out the contract with you, or for legitimate uses permitted by law such as responding to your request, keeping records, and preventing fraud or misuse.
5. Who we share data with
We do not sell your personal data. We share it only where needed:

If we ever sell or restructure our business, personal data may be transferred to the new owner, who must continue to protect it as described here.
6. Customer data inside BuildTrack Pro
Customer business data belongs to the customer. We use it only to provide and support the Service, and we never sell or share it for advertising. We provide a full export of projects, leads, quotations, documents and finance data on request. Our customers are responsible for having a lawful basis to enter their own leads, clients and staff details into the Service.
7. Security
We use reasonable technical and organisational safeguards to protect personal data, including role-based access inside the Service and encrypted connections (HTTPS) on the Website. No system is completely secure, so we cannot guarantee absolute security. If a personal data breach affects you, we will notify you and the relevant authority as the law requires.
8. How long we keep data
We keep personal data only for as long as needed for the purposes in this policy, to meet legal, tax and accounting duties, or to resolve disputes. After that, we delete it or make it anonymous. Enquiries that do not lead to a customer relationship are kept only as long as reasonably needed to follow up with you.
9. Where data is stored
We host the Service on servers in India. Some Website resources (fonts and icons) are delivered by providers whose servers may be in other countries.
10. Your rights
Under the Digital Personal Data Protection Act, 2023, you have the right to:
- Ask for a summary of the personal data we hold about you and how we use it
- Ask us to correct, complete or update your personal data
- Ask us to erase your personal data when it is no longer needed
- Withdraw your consent at any time, as easily as you gave it
- Use our grievance redressal process (section 12) and nominate another person to exercise your rights if you die or become unable to do so
To make a request, email info@cotechin.com from the address you used with us. We may need to confirm your identity first. Withdrawing consent does not affect processing done before you withdrew it.
11. Children
The Website and the Service are meant for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us personal data, please contact us and we will delete it.
12. Grievances and contact
If you have a question, complaint or request about your personal data, contact our grievance contact at info@cotechin.com with the subject "Privacy request". We aim to acknowledge requests promptly and respond within a reasonable period, and within any timeline set by law. If you are not satisfied with our response, you may approach the Data Protection Board of India once it is operational.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If we make a significant change, we will tell you by a notice on the Website or by email where we have your address.
